Getting started with Entrenify: your first afternoon

To find out how to get started with Entrenify you do not need to go through every screen: just create your account and follow the four steps in the “Para empezar” (Getting started) list that the dashboard shows when you log in. Enter your business name, add your first client, create a routine for them and mark when you have free slots. The list is calculated from what you have already done and disappears when all four are complete. Here they are in order, with what is worth knowing about each.
First of all: create your account
The account is created at app.entrenify.com/registro (in Spanish). The form asks for your business name and your email; your name and a phone number are optional. You also have to accept the legal notice and the privacy policy.
Then you receive an email with a link to activate the account and choose your password, which has to be at least 8 characters long. Open it soon: the link expires after 48 hours.
You start with a 14-day trial, no card needed, and during the trial you get everything in the Pro plan: public website and automations, with no client limit.
Step 1: enter your business name
This is what your clients will see in the app and in emails, including the invitation they receive to log in. The one you typed when registering already works, and with it this step shows as done. If you want to change it, it is in “Ajustes” (Settings), on the main dashboard screen, as “Nombre que ven tus clientes” (Name your clients see).
Choose the name you want to be known by: your first name and surname, or the trading name you already work under. Changing it every few weeks confuses whoever receives your emails.
Step 2: add your first client
From “Clientes” (Clients) you can invite them by email or create just their record and give them access later. If you invite them, they receive a single-use link to choose their password; it expires after 72 hours and, if you send another, the previous one stops working. You neither choose nor see their password.
Their app is not on the App Store or Google Play: it is installed as a web app from the phone's browser. The most practical approach is to do the onboarding with them in front of you. And one detail worth knowing from day one: until the client accepts the processing of their health data in their app, their measurements cannot be recorded and they cannot send their check-in.
A new client's whole first week, with its checklist, is in onboarding a new client.
Step 3: create a routine for them
In “Entreno” (Training) you create a routine template: you name it, add the days and, on each day, the exercises. You find them in the built-in library of 873 exercises with images, or among your own: the ones you have copied from it into your own library and the ones you have created yourself. For each exercise you set sets, reps, weight, rest and target RPE, depending on how you work.
Give it a name that helps you reuse it, such as “Rutina A” (Routine A), and not the client's name: a well-made template works for several clients.
Then, from their record, you assign it to them. They receive their own copy: if you later edit the template, their training does not change mid-week. The step in the list is ticked as soon as you have a routine created, but your client will not see it in their app until you assign it. How to organise your templates so you do not start from scratch is covered in how to build routines without losing hours.
Step 4: mark when you have free slots
In the diary you set your hours: the time slots on each day you work, several per day if you break at midday, and blocks for holidays or days off. Without hours set, sessions cannot be booked with you.
Having hours set opens nothing to the public: the booking page comes switched off, and without automatic confirmation, until you change it. When you switch it on, you decide which appointment types can be booked, with how much minimum notice and up to how many days ahead. We explain it in online diary and bookings for personal trainers.
What you can leave for another day
With the four steps done and the routine assigned, your first client can already train with their plan. This can wait:
- Their fee: amount, frequency and next payment date, which is calculated automatically. Payments are recorded by hand.
- Your message templates in the chat, for the welcome or to remind them of the check-in.
- The daily alert: a single one a day, at the time you choose, with the clients who are not paying, who have not trained for days, who have no plan or who have a new check-in. You set the thresholds in “Ajustes”.
- Week-by-week programmes, which are built in a grid of weeks by days. That builder is used on a computer, not on a phone.
- Your public website, if you are going to stay on the Pro plan.
What is worth knowing from the start
To organise yourself from day one around what exists, not what you assume:
- It does not send notifications by WhatsApp or SMS: appointment reminders go by email and push notification.
- It does not sync with Google, Apple or Outlook. If you use another calendar, decide which is your reference diary.
- It does not charge your clients or issue tax invoices: it is a record of fees and payments.
- Catalogue exercises have images, not video.
Prices for each plan are on the Entrenify home page (in Spanish).
Frequently asked questions
What do I need to create the account?
Your business name and your email; your name and a phone number are optional. You receive a link to activate the account and choose your password, and that link expires after 48 hours.
Do I have to give my card details to start?
No. You start with a 14-day trial, no card needed, and during it you get everything in the Pro plan.
Does my client see the routine as soon as I create it?
No. Creating the template shows it to nobody: your client only sees in their app what you have assigned to them from their record.
Can I hide the “Para empezar” list?
Yes. If you prefer to go your own way you can hide it, and when you complete the four steps it disappears by itself.
