Online scheduling and bookings for personal trainers

An online diary for a personal trainer has to do three things: show you at a glance what you have each day and which gaps are left, let you move sessions without rewriting them, and let your clients, or people who are not yet clients, ask for a slot within your hours without five messages back and forth. Here is what to decide before opening a booking page, how to handle reminders and cancellations, and what Entrenify does in each part, including what it does not do.
What your daily diary should show you
A trainer's diary is not just a list of times. To help you make decisions, each appointment needs more than a name:
- Type. A training session is not the same as an initial assessment, a follow-up review or a block of internal work.
- Real duration. Six half-hour appointments do not fill a day the way six hour-and-a-half ones do.
- Status. Pending, confirmed, completed, cancelled, moved or “no-show” say very different things about a client and about your business.
- Gaps. What is left free between appointments is what you can offer, or use for the work nobody sees.
And moving an appointment should be as easy as dragging it. If changing the time means deleting it and creating it again, you will end up noting the changes somewhere else, and then you will have two diaries.
Before you open a booking page, decide this
A booking page lets people ask for a slot without writing to you. Before you share the link, be clear on these decisions:
- Your hours. The time slots each day when you accept appointments, with their breaks.
- What can be booked. A few appointment types, each with its own duration. Keep what you offer to anyone, such as a first assessment, apart from what is only for your clients.
- Minimum notice. How many hours of margin you need for a booking, so nobody books you for ten minutes from now.
- How far ahead. How many days in advance people can book.
- Confirmation. Whether each booking comes in confirmed or stays pending until you review it.
- Blocked dates. Holidays and days you do not work, so they do not show as available.
- How to cancel. Whoever books should know how to cancel without having to phone you.
What you decide here is your appointment policy. Put it in writing and share it with whoever books, so nobody gets a surprise.
How a booking page works
For the person booking, the journey has to be short: they choose what they want to book, see only the days that have some availability, pick a time, leave their name and email and receive a confirmation with a link to cancel. For you, the booking has to land in the same diary as the rest of your appointments, not in a separate list that has to be checked on its own.
There are two details worth checking. The first is that availability is checked again at the moment of confirming, so two people do not end up with the same time. The second is that if the person booking is already your client, the appointment should go on their record and not appear as if it came from a stranger.
Reminders and cancellations
A reminder before the appointment is the simplest way to make sure nobody forgets, and an easy cancellation is the way to keep the slot from going to waste: if cancelling takes a couple of clicks, people let you know; if they have to phone you, they may simply not turn up.
Decide in advance how long before the appointment you send a reminder and through which channel. If you move an appointment, the reminder has to move with it. And if a client often cancels at short notice, that is not just a free slot: it is a signal for the conversation about how to retain clients.
Also bear in mind what the diary does to your week: if every cancellation turns into a gap that nobody fills, your real capacity is lower than you think. We look at this in how many clients a personal trainer can handle.
How it works in Entrenify
In Entrenify (in Spanish), the diary and the booking page are the same thing seen from two sides:
- Drag-and-drop diary. You change the time or duration of an appointment by dragging it, and its pending reminders move with it.
- Types and statuses. The appointment types include training, assessment, follow-up and internal work; the statuses include pending, confirmed, completed, cancelled, rescheduled and “No asistió” (no-show).
- The day and the month. The day view shows the appointments, the gaps between them and an occupancy summary. In the month view, each day is marked by how busy it is, not by the number of appointments. When there is a free gap, it suggests which clients you could see, without creating any appointment until you confirm it.
- Public booking page. You choose the address of your link, your hours with several time slots per day, the appointment types that can be booked (each with its own duration, open to anyone or only for clients), the minimum notice, how many days ahead, blocked dates, and whether bookings are confirmed automatically. It comes switched off, and without automatic confirmation, until you change it.
- Booking and cancelling. Whoever books sees only the days with some availability, and the gaps are recalculated at the moment of confirming. If the email matches that of one of your clients, the appointment is attached to their record. They receive an email confirmation with a link to cancel, without needing an account, and you get a notification of the new booking. A cancelled appointment frees the slot.
- Reminders. On each appointment with a client you can switch on reminders, which go out by email and by push notification.
- Public website. If you have the Pro plan, with your own public website, and bookings are switched on, its booking button leads to this same page.
What the Entrenify diary does not do
It is worth knowing before you organise yourself around it:
- It does not send notifications by WhatsApp or SMS.
- It does not sync with Google, Apple or Outlook. If you use another calendar, decide which one is your reference diary so you do not duplicate appointments.
- It has no group sessions.
- Bookings from someone who is not yet a client have no scheduled reminder, because reminders are scheduled on appointments with a client; that person does receive the confirmation with their link to cancel.
If your clients use the Entrenify app, they also see their diary there; what that app is like inside is covered in the app for a personal trainer's clients.
Frequently asked questions
Do my clients need an account to book or cancel?
To book, the page asks for a name and an email. For appointment types that are only for clients, they must use the same email you registered them with. To cancel, the link in the confirmation email is enough, with no account needed.
Can I sync the diary with my Google, Apple or Outlook calendar?
No. Entrenify does not sync with Google, Apple or Outlook. If you work with another calendar, it is worth deciding which one is your reference diary so you do not duplicate appointments.
Can I make bookings confirm themselves?
Yes. Unless you change it, each booking stays pending until you confirm it, but you can switch on automatic confirmation. In both cases you receive a notification of the new booking.
Can appointment reminders go out by WhatsApp?
No. Appointment reminders go out by email and by push notification; Entrenify does not send notifications by WhatsApp or SMS.
