Entrenify Esencial or Pro: what changes and which suits you

The price of Entrenify depends on the plan: Esencial (Essential) costs €22 a month + VAT and is for looking after up to 20 active clients; Pro costs €32 a month + VAT, with no client limit, with your own public website and automations. Both start with a 14-day trial, no card needed. Here is what really changes between them, what counts as an active client and how to tell which one suits you.
The differences, in a table
Three things change between Esencial and Pro, apart from the price:
| Item | Esencial | Pro |
|---|---|---|
| Price | €22 a month + VAT | €32 a month + VAT |
| Active clients | Up to 20 | No limit |
| Own public website | No | Yes |
| Automations | No | Yes |
| Trial | 14 days, no card | 14 days, no card |
Those three things (the limit on active clients, the public website and the automations) are what the plan restricts. In Entrenify, anything a plan does not declare as limited is allowed, so everything else (routines, programmes, follow-up, chat, diary and payment records) works the same in both.
Prices are shown excluding VAT: VAT is added when you are charged.
What counts as an active client
The Esencial limit is on active clients, not on everyone you have ever had. An archived client does not count: when you archive them they leave your list and the summary, keep their history and their access to the app is closed. Someone who leaves does not take up a slot. How to close that departure properly is covered in what to do with the data of a client who leaves.
The limit is checked when you add a new client and when you reactivate an archived one. If you already have 20 active, you cannot create the next one until you archive someone or upgrade the plan, and the notice explains it. And nobody gets thrown out: if one day you have more active clients than the limit, the ones already there keep their data and access; the only thing you cannot do is add more.
A habit that helps, especially on Esencial: review your list from time to time and archive anyone who no longer works with you. A client who stopped coming and is still active takes up one of your slots even though you no longer look after them.
Which one suits you
Esencial, if…
- You have 20 active clients or fewer and do not expect to go beyond that.
- You get clients through recommendations, your social media or the gym where you work, and you do not need a website of your own.
- What you are after is organising routines, follow-up, chat, diary and payments.
Pro, if…
- You have, or are going to have, more than 20 active clients at once.
- You want a website at your own entrenify.com address, with a contact form and a button to turn each enquiry into a client. What to put on it is covered in a personal trainer's website.
Three cases, as examples
Three hypothetical situations, to see it in terms of number of clients and not euros:
- Works at a gym and has twelve clients, who come through the gym itself. They do not need a website and are far from the limit: Esencial is enough.
- Trains online and finds clients through social media. They have fifteen clients, but want a page where people can contact them without going through private messages: even though they do not reach the limit, what they are looking for is in Pro.
- Has eighteen active clients and is growing. They can start with Esencial and keep an eye on the limit, or start with Pro if they know they will soon exceed it.
If in doubt, count your active clients and ask yourself whether you need a website: those are the two questions that separate one plan from the other. How many clients you can look after well is another matter, which we cover in how many clients a personal trainer can handle.
Automations, without exaggeration
Pro includes the automations engine, but in Entrenify its scope is specific: the event that triggers them is “Se ha añadido una cita a la agenda” (An appointment has been added to the diary). What they do is alert you inside the application or send an email, to the account holders or to an address you set.
With that scope, they are not a reason to move up to Pro: decide based on the client limit or the website.
The trial and changing plan
The trial lasts 14 days, no card needed, and during it you have what Pro offers: public website and automations, with no client limit. Use it to test exactly what decides between the two: build your website, see whether you would use it and count how many active clients you will have.
If you choose Esencial and reach the limit, the notice tells you that you can upgrade the plan from “Suscripción” (Subscription) and carry on adding clients without losing anything you already have.
And if, when the trial ends, you are still unsure, go back to the two questions at the start: how many active clients you have and whether you will use the website. Everything else is the same in both plans.
What neither plan includes
To compare with what you really need, this is what Entrenify does not do in either of them:
- It does not charge your clients or issue tax invoices: fees and payments are recorded by hand.
- It does not send alerts by WhatsApp or SMS.
- There is no app on the App Store or Google Play: your clients' app is installed as a web app from the browser.
- It has no video calling of its own, and the catalogue exercises have an image, not a video.
- It does not sync with Google, Apple or Outlook.
How each feature works inside is on the Entrenify home page (in Spanish).
Frequently asked questions
Do archived clients count towards the Esencial limit?
No. The limit is on active clients. An archived client leaves your list, keeps their history and stops counting.
What happens if I reach the Esencial limit and want to add another client?
You will not be able to create them until you archive someone or upgrade the plan. Nobody loses access for reaching the limit: you are only prevented from adding more.
Do I have to give a card to try Entrenify?
No. The trial lasts 14 days, no card needed, and during it you have what the Pro plan offers.
Do the prices include VAT?
No. Esencial costs €22 a month + VAT and Pro, €32 a month + VAT: VAT is added when you are charged.
